Job Description

ROLE SUMMARY

The Program Coordinator provides administrative, program coordination, learning operations, and leadership support for leadership development programs and skills development for the Leadership Institute and Access and Reimbursement Team. The role coordinates learner administration, live training and event logistics, team meetings, budgets, vendors, systems, communications, travel and expenses, engagement activities, visitor logistics, and reporting to deliver a seamless learner and stakeholder experience while maintaining accurate program data and documentation.

  
ROLE RESPONSIBILITIES

Program Administration and Learner Management

  • Coordinate end-to-end learner administration for leadership development programs, including curriculum uploads and updates in the Content Library, GCMA submission management, participant enrollment, Degreed, My Essential Learning course creation, roster management, attendance and completion tracking, learner communications, assessments, certifications, badges, evaluations, and reporting.
  • Maintain accurate learner records, program documentation, schedules, trackers, reports, standard operating procedures, templates, communications, and meeting documentation; proactively identify gaps, risks, and follow-up needs.
  • Partner with learning, business, and platform stakeholders to provide urgent, customer-focused support and consistent learner experience.

Live Training, Events, and Engagement Logistics

  • Coordinate end-to-end logistics for leadership development programs, workshops, leadership meetings, town halls, off-sites, and engagement events, including scheduling, attendee management, materials, rooms, virtual meeting setup, travel, hotel blocks, registration, catering, supplies, and operational support.
  • Coordinate external speakers, facilitators, vendors, partners, and visitors, including access, materials, technology requirements, timelines, responsibilities, updates, and day-of support.
  • Anticipate logistical issues and resolve them early to support seamless program execution and stakeholder experience.

Calendar, Meeting, and Leadership Support

  • Provide administrative and coordination support to the Leadership Institute leader and AAR Team leader, including calendar management, teams channel/file management, scheduling, meeting coordination, conflict resolution across stakeholders, and phone coverage when required.
  • Coordinate team and leadership meetings by gathering agenda topics, distributing agendas and materials, documenting decisions and action items, and following up on commitments.
  • Prepare professional, executive-ready presentations, communications, reports, announcements, and messages of appreciation.

Budget, Purchasing, Travel, and Vendor Administration

  • Manage department and program budget tracking, purchase order creation and tracking, invoice routing, financial commitments, and recordkeeping in alignment with organizational processes.
  • Coordinate business travel, itineraries, expense reports, reimbursements, approved purchases, supplies, equipment, hotel accommodations, event contracts, and supporting documentation.
  • Coordinate vendor activities, contracts, deliverables, platform access, communications, milestones, and outstanding actions.

Learning Systems, Assessments, and Technology

  • Administer DiSC and SLII assessments, including assignments, access, communications, distribution, completion tracking, reports, materials, and vendor or platform coordination.
  • Work with the appropriate learning platform team to add classes to My Essential Learning, Degreed, and relevant academies and support learning system administration and reporting.
  • Expertise with Microsoft Teams, Outlook, Microsoft Office, Copilot, Claude, and other approved tools to improve coordination, reporting, content preparation, and operational efficiency; provide basic troubleshooting and escalate issues when needed.


QUALIFICATIONS

BASIC QUALIFICATIONS

  • High school diploma or equivalent with a minimum of five years of progressively responsible experience in program coordination, administrative support, training coordination, learning operations, event coordination, or project support; OR an Associate’s, Bachelor’s, Master’s, or PhD with 0+ years of work experience is required.
  • Demonstrated ability to manage multiple priorities, deadlines, schedules, and stakeholders with strong attention to detail and follow-through.
  • Experience coordinating meetings, live or virtual events, participant communications, materials, logistics, town halls, off-sites, engagement activities, and action tracking.
  • Experience coordinating business travel, expense reports, reimbursements, budgets, purchase orders, invoices, contracts, vendors, purchases, or related financial administration.
  • Excellent written, verbal, and interpersonal communication skills, including formatting professional and executive-ready materials and providing urgent stakeholder support.
  • Demonstrated resourcefulness, sound judgment, initiative, and ability to anticipate needs, resolve issues, and work independently under pressure.
  • Expert level knowledge of Microsoft Teams, Outlook, Word, PowerPoint, and Excel; ability to learn systems, run reports, perform basic data analysis, and troubleshoot common technology issues.
  • Ability to handle business information and learner data with appropriate discretion and accuracy.


PREFERRED QUALIFICATIONS

  • Bachelor's degree.
  • Experience in Learning and Development, Commercial Training, leadership development, or a related learning environment.
  • Experience administering learning platforms, learner records, enrollments, completion tracking, credentials, assessments, and system-based communications.
  • Demonstrated project management skills and experience coordinating complex, cross-functional programs.
  • Experience with My Essential Learning, Degreed, Content Library administration, DiSC, SLII, or comparable learning and assessment platforms.
  • Experience using generative AI tools, including Copilot or Claude, to support approved business processes and improve operational efficiency.


NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS

  • Ability to work flexible hours, including early mornings, evenings, or occasional weekends, when required to support programs or events.
  • Ability to travel as needed for in-person leadership programs, meetings, or events. Travel expectations will be confirmed by the hiring team.


ORGANIZATIONAL RELATIONSHIPS

  • Leadership Institute leader and AAR Team leader; learning, business, and platform stakeholders; leadership program participants; external speakers and facilitators; vendors, partners, and visitors; appropriate learning platform teams.


Financial Accountability

  • Supports department and program budget tracking, purchase orders, invoices, financial commitments, approved purchases, vendor contracts, travel, and event-related expenses. Specific financial accountability to be confirmed by the hiring team.

Supervision

  • No direct reports. The role coordinates cross-functional stakeholders, vendors, facilitators, speakers, partners, and program participants.

The salary for this position ranges from $33.12 to $55.19 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
